If You Want Something Done, Give it To a Busy Person
I love efficiency. No seriously, I love efficiency! I’m a Sales Director by day and a blogger by night. So I stay busy. In order for me to get it all done and remain productive, I HAVE to be organized and efficient.
Efficiency is my jam and when I see something not being done efficiently, I seriously cringe, get angry or both. If it’s not efficient, my brain just doesn’t understand.
Honestly, “Ain’t nobody got time for that [inefficiency]!” – (Thank you, Sweet Brown.) So, I am constantly trying to figure out ways to work smarter and not harder but still produce amazing results.
Successful Productivity Tips and Tricks
1. Just Say NO!
Seriously, learn how to operate from a place of “NO”. Gasp! I know this sounds awful but just hear me out. (Most of us) all want to help our fellow man. I LOVE to help. It’s human nature. Saying “Yes,” to things that aren’t IPAs (Income Producing Activities) can throw you off of your course and are HUGELY inefficient and not productive. Remember: Be selective about what you say “Yes” to.
Try it with me . . . Take a huge breath in and and say “No.”
2. The BIG 2
Vow to Conquer NO MORE then (2) important tasks per day. To be honest, I struggle with this one from time to time. Apparently, I think that majority of my tasks are all “important”; therefore, making it hard to differentiate between what’s key and what’s not. Really sit down and give some thought as to what tasks fall under the category of “must do” or “I need to put out this fire”.
Find yourself with more then 2 tasks for that day? Easy, just roll them over to the next day.
Make sure, you knock these 2 important tasks out first thing in the morning before you return any call or read any emails.
3. Laser Focus
Multi-tasking NEVER works! I’m sure, you can walk and chew gum but that’s as productive as it gets. To be insanely productive requires laser focus on the task at hand. I bet, you can knock out 5 tasks in 1/2 the time it were to take if you tried to do all five at one time.
4. Get Repetitive, Repetitive
Templates are our friend. Working in sales, I receive pretty much the same questions over and over again. Some clients may ask in a different way, but the questions are pretty much the same. For example: What is the cost of? How do I place an order? How can I pay? What’s your return policy? and etc.
I’m guessing that you receive the same questions over and over like I do too.
Try this, instead of taking the time to type individual replies to the similar emails all day, draft up a general response to the questions you receive the most. Check to see if your email service has an email template feature. If not, no worries. You can save them to a master Word document for safe keeping and easy reference.
5. Are you on the VIP list?
Never miss another call, email or text from your boss or anyone else who is a VIP. How? Easy, add them to your phone’s VIP list. By adding them to your VIP list, any correspondence from them will go straight to the top of your email.
Did you know that you can even set-up a special ring or alert sound for your VIPs too???
